 At Brentwood Cricket Club we want to make sure all personal information we have collected about you is safe and secure whether we collect it through our website at http://brentwoodcc.clubbuzz.co.uk/ or from other sources.

This Policy set outs our commitments to you, in compliance with and beyond the General Data Protection Regulation (commonly known as the GDPR) and explains how we collect, store and use your personal information.

We have appointed a Data Protection Officer to oversee our compliance with data protection laws as we are required to do so.  Our Honorary Secretary & Club Administrator has overall responsibility for data protection compliance in our organisation.  If you have any questions about this Policy or what we do with your personal information, their contact details are set out in the "Contact" section below.

 

PRIVACY NOTICES

Collecting specific, relevant personal information is a necessary part of us being able to provide you with any services you may request from us or in providing services to our customers and members or just managing our relationship with you.

When we hold or use your personal information as a data controller (see below for a description of what this is) we will provide you with a privacy notice which sets out in detail what information we hold about you (such as your contact details, address, etc.), how your personal information may be used and the reasons for these uses, together with details of your rights. 

Where we collect personal information from you directly, we will provide this privacy notice at the time we collect the personal information from you.  Where we receive your personal information indirectly, we will provide this privacy notice when we first contact you, first pass the data to someone else or within a month, whichever is the earlier.

We will only provide this privacy notice to you once, generally at the start of our relationship with you.  However, if the applicable privacy notice is updated substantially, then we may provide you with details of the updated version.  You are encouraged to check back regularly for updates. MEMBER PRIVACY NOTICE

By submitting Personal Information to this website, you agree that Brentwood Cricket Club may process it in the manner described in this policy which describes our current practices with regard to Personal Information which is hosted by ClubBuzz Ltd. The term 'Personal Information' refers to information about you personally, which, from time to time, you will be asked to submit (e.g. name and email address) in order to receive or use services on our website. As a result of changes in law and technology, our practices will change over time. When this happens, we will post the changes on our website as soon as is practicable and, therefore, we encourage you to check the site frequently. We will always deal with your Personal Information fairly and in accordance with your instructions.

We will hold your Personal Information within our systems for as long as you remain a member of the club. When you cease to be a member all personal data will be deleted within 6 weeks of the date of your resignation.

We will tell you the purposes for which we will process personal information. Such purposes include the following:

  1. maintaining our membership database;
  2. to inform you of selection for teams or invitations to club events;
  3. contacting you with information pertinent to your membership or application for membership and details of events and other matters which we think will be of interest to you;
  4. marketing and market research;
  5. internal use to help us improve our services and to help resolve any problems.

Since Brentwood Cricket Club is a member of the league and you are a key contact for that club or a league official you are essentially authorising us to hold some personal details (this is termed legitimate interest) and below is what we hold for you in this regard, how we use it and what we will contact you about via our email database.

Since the Club is a sports club it is central to the operation of the Club that we are authorised to hold some personal details about members in order to run the Club (this is termed legitimate interest).

Members: We hold your full name, address, email address and telephone numbers. We will use this information to contact you regarding club matters.

Committee members: We hold your full name, address and telephone numbers. We will use this information to share with the relevant cricketing bodies regarding matters affecting the club.

Captains: We hold your full name, email address and telephone numbers. We will use this information to share with clubs and contact you regarding team cricket-playing matters.

Team Managers: We hold your full name, email address and telephone numbers. We will use this information to share with clubs and contact you regarding team cricket-playing matters.

The Club uses the ECB Play Cricket website to administer the results, fixtures and statistics for the Club. Your personal details (including full name, email, telephone numbers, address, postcode and date of birth) are entered by the club's Play Cricket administrator. These details are visible to all competition Play Cricket administrators for the purposes of running matches and competitions that the club participates in.

Any member of the club website can see their details by making a request at any time for all data that we hold on them.

As a club, we will always advise members of our database of any possible data breaches.

HOW DO WE USE YOUR PERSONAL INFORMATION?

WHO DO WE SHARE YOUR PERSONAL INFORMATION WITH?

Details of how we disclose your personal information are set out in the relevant privacy notice provided to you, but generally, it is where we need to do so in order to run our organisation (e.g. where other people process information for us). In such circumstances, we will put in place arrangements to protect your personal information.  Outside of that, we do not disclose your personal information unless we are required to do so by law. 

If we transfer personal information about you outside the European Economic Area (EEA), we will let you know and ensure that all reasonable security measures are taken and that any third party processors will be required to process the information in accordance with information protection laws and we will notify you in your privacy notice if we are the information controller.

We do not sell, trade or rent your personal information to others.

 

HOW LONG DO WE HOLD ON TO YOUR PERSONAL INFORMATION?

Further details of how long we hold onto your personal information for are set out in the relevant privacy notice provided to you, but we will only hold your information for as long as is necessary or where you ask us to delete records we may delete it earlier.

SECURITY

Your data will be managed by ClubBuzz Ltd who manage data for hundreds of similar clubs in a secure hosting environment. Your data will be retained within the European Economic Area (EEA) other than where it is transferred to a third party for the purpose of setting up a payment regime where it will only leave the EEA if security meets the EU’s security requirements.

ClubBuzz Ltd employs a variety of technical and organisational measures to keep your personal information safe and to prevent unauthorised access to, or use, or disclosure of it. Unfortunately, no information transmission over the Internet is guaranteed 100% secure nor is any storage of information always 100% secure, but we do take all appropriate steps to protect the security of your personal information. 

 

COOKIES
